The National Worker Screening Database (NDIS employers only)

The National Disability Insurance Scheme Quality and Safeguards Commission (the NDIS Commission) has developed the NDIS Worker Screening Database (NWSD), a national register of all workers who have applied for an NDIS Worker Screening Clearance.

Who can request access to the NDIS Worker Screening Database

  • Registered NDIS providers will automatically have access to the NDIS Worker Screening Database and can log in via the NDIS Commission Portal. They are required to ensure their workers have a NDIS Worker Screening Check clearance if they are engaged in certain roles (called ‘risk assessed role’).Unregistered NDIS providers and NDIS participants who self-manage their NDIS plan can request access to the NDIS Worker Screening Database.Unregistered NDIS providers can decide whether to require the workers that they employ or otherwise engage to obtain a clearance.Self-managed NDIS participants can also individually decide if they require workers of unregistered NDIS providers or other individuals who provide supports and services to them to undertake a NDIS Worker Screening Check.

Registration will provide with access to the NWSD so that you can:

  • Verify the employment of a new worker.
  • View their current NDIS Worker Screening Check status and eligibility to work in roles that require a NDIS Worker Screening Check.
  • Link existing NDIS Worker Screening Clearance holders to your organisation.
  • Delink a worker because they are no longer engaged by your organisation.
  • Receive email updates on changes to your workers NDIS Worker Screening Check status.
  • Update your organisation’s details.

The Queensland Employer Portal

NDIS employers

Employers who engage workers that hold a yellow card or yellow card exemption card that was issued before 1 February 2021 will also be required to register with the Department of Child Safety, Seniors and Disability Services to access the Queensland Employer Portal. This replaces the Yellow Card Online Portal from 1 February 2021.

The Queensland Employer Portal will enable you to:

  • Link a yellow card or yellow card exemption holder to your organisation.
  • Delink a yellow card or yellow card exemption holder because they are no longer engaged by your organisation.

To register your organisation for the Queensland Employer Portal, complete the Queensland Employer Portal registration form ((DOCX, 150 KB)).

If you are already registered for the Queensland Employer Portal:

State-funded employers

State-funded organisations who provide disability supports and services will be required to register with Disability Services to access the Queensland Employer Portal. This will generally only apply to the following organisations:

  • Queensland Government run accommodation support and respite services.
  • Queensland Government funded disability advocacy services.

Registration will provide you with access to the Queensland Employer Portal so that you can:

  • Verify the employment of a new worker.
  • Link a yellow card holder or yellow card exemption holder to your organisation.
  • Delink a yellow card holder or yellow card exemption holder because they are no longer engaged by your organisation.

To register your organisation for the Queensland Employer Portal, complete the Queensland Employer Portal registration form ((DOCX, 150 KB)).

Updating your organisation’s details

If you have access to the NWSD you can update your organisation’s details directly in the database.

If you are a state-funded employer and only access the Queensland Employer Portal, you can update your details by contacting the Worker Screening Unit either by email at workerscreening@dsdsatsip.qld.gov.au or by phoning 1800 183 690.

If you have access to both the NDIS Worker Screening Database and the Queensland Employer Portal you will need to update your details in both the NWSD and by contacting the Worker Screening Unit (to arrange an update to the Queensland Employer Portal).

Linking and Delinking workers

If you are a registered NDIS provider or a self-managed NDIS participant and you wish to link or delink an NDIS Worker Screening Clearance Card holder to or from your organisation, you can do so via the NWSD.

If you wish to link or delink a Yellow Card holder or a Queensland disability clearance holder to your organisation you can do so via the Queensland Employer Portal.

Check the status of a worker

If you are a registered NDIS provider or a self-managed NDIS participant and you wish to check the screening status of an existing NDIS Worker Screening Clearance Card holder you can do so via the NWSD.
